Step By Step Instructions On Your Return to Training

We are Excited to Announce the Return to Athletics in the Province of BC!

BC Athletics understands all our members are eager to begin a safe return to training and we are pleased to confirm that the Club Attestations and Individual Membership Waivers WILL be distributed TODAY (June 16, 2020).

BC Athletics members are reminded that they all must have read and understand Athletics Canada’s “Back on Track” Guidelines Released on June 1,2020 and BC Athletics “Return to Training Addendum (Updated June 26th) which, highlights any additional or differing guidelines that have been set specifically for the Province of BC under Phase 2 of BC’s Restart Plan. It is the responsibility of each member to undertake their own personal risk assessment and determine whether they are willing and able to return to sport at this time.

To provide confirmation, all members must understand and sign the appropriate following documents prior to resuming training with the club:

  1. Informed Consent and Assumption of Risk Agreement (To be executed by Participants under the Age of Majority and the Participant’s Parent of Guardian)
  2. Release of Liability, Waiver of Claims and Indemnity Agreement (To be executed by Participants over the Age of Majority)
  3. COVID-19 Questionnaire, Attestation and Participant Agreement (To be executed by Participants under the Age of Majority and the Participant’s Parent of Guardian or by Participants over the Age of Majority)
  4. To facilitate contact tracing, in the event of an outbreak, each member will also be asked (as part of the waiver and attestation process), to verify that the contact information stated on their 2020 BC Athletics membership (Trackie.me) is current and up to date including:
    1. Individual’s PERSONAL Email
    2. Home address
    3. Phone Number

The following will outline step-by-step instructions for completing the requirements needed to return to training.

 

INSTRUCTIONS FOR CLUB ADMINISTRATORS/REGISTRARS

Step 1 - You will receive an email from Trackie with a link to the Club Attestation and Acknowledgement form verifying that the club agrees to BC Athletics Return to Training Addendum & Athletics Canada’s “Back on Track” Guidelines.

  • You can also log directly into your Trackie.me dashboard
  • Immediately upon logging in, you will be directed to the Club Attestation and Acknowledgement form.
  • As the Club Administrator/Registrar you must, following the approval of the Club’s Board of Directors, sign-off on the Club Attestation and Acknowledgement Form by providing a digital signature. By submitting this form, the Club’s Board of Directors is agreeing that the club in its entirety will comply with the return to training guidelines.
  • You will receive a confirmation email shortly after completing the club attestation form.

 

Step 2 - Once the club administrator has completed the club attestation form, an email will automatically be sent to all members of your club containing a personalized link to the:

  1. Informed Consent and Assumption of Risk Agreement (To be executed by Participants under the Age of Majority and the Participant’s Parent of Guardian)
  2. Release of Liability, Waiver of Claims and Indemnity Agreement (To be executed by Participants over the Age of Majority)
  3. COVID-19 Questionnaire, Attestation and Participant Agreement (To be executed by Participants under the Age of Majority and the Participant’s Parent of Guardian or by Participants over the Age of Majority)
  4. Members will also be asked to provide their current:
    1. PERSONAL Email Address
    2. Home address
    3. Phone Number
  • If any member has a club email address registered to their Trackie account or membership information, the person in charge of the club account will need to forward the personalized email to each individual as necessary. Club Administrators or coaches are NOT allowed to sign on another individual’s behalf.
  • Members are required to receive the unique link to their individual form for completion.

 

Step 3 - Should, for some reason, one of your members not receive an email with their personalized link, you can also view individual profiles, and obtain the participants link. From there, you can distribute their link directly through alternate communication channels.

  • You will be able to see the members of your club that have completed their risk assessment waiver in your club dashboard. Members who have yet to complete their waiver will be highlighted in yellow and will have a notice to the left of their name stating, “risk assessment waiver not completed”.
  • You can also keep track of waiver completions by accessing the “assumption of risk waiver” menu tab on the left-hand side of your dashboard.

 

Step 4 – Once a member has understood and signed the required documents their membership will be immediately activated. This will be done automatically and there are no further steps required to be taken.

 

CLUB MEMBERS WHO HAVE NOT COMPLETED THEIR WAIVER, SHOULD NOT BE ALLOWED TO TRAIN WITH YOUR CLUB.

 

 

 

INSTRUCTIONS FOR INDIVIDUAL CLUB MEMBERS AND UNATTACHED MEMBERS

Step 1 - You will receive an email with your personalized Trackie link. You or your parent/guardian will need to thoroughly read through the documents and agree as appropriate. You will be asked to provide a digital signature as an acknowledgment of the waiver.

Club Members

  • When completing your digital signature, please ensure the correct spelling of your name, and that name you are signing with corresponds directly with the name on your Trackie account or membership information (i.e. Do not use a nickname, abbreviation, or initials).
  • If you do not receive a link, please contact your club Administrator/Registrar or coach.

 

Unattached Members

  • When completing your digital signature, please ensure the correct spelling of your name, and that name you are signing with corresponds directly with the name on your Trackie account or membership information (i.e. Do not use a nickname, abbreviation, or initials).
